Set up and pack down

Standard layouts apply to all faculty spaces. Please discuss the type of function and your set-up requirements, including access times, delivery of equipment, storage etc with the Student Activities Officer. You will also need to think about pack-down times, equipment pick up, overnight storage. These details need to be communicated to the Student Activities Officer via the function fact sheet.

Clubs may set up booked rooms to suit their needs however they are required to return them to the correct standard setting. Failure to do so will result in the club incurring the cost of having the room re-set. If you wish to change room layouts please provide details to the student activities officer. You may:

  1. Provide your own members to undertake set ups
  2. In large setups, contracted labour may be required. Contracted labour should be booked five working days in advance. All costs for contracted labour will need to be met by the club and a mailing address for a club executive must be provided. 
  3. or a combination of 1 and 2.  

A few things to note:

  • The faculty/Monash Facilities and Services are not responsible for set-ups, pack-up or supervising. 
  • Please inform the Student Activities Officer if you require external contractors for your event.
  • Equipment (including chairs, tables, whiteboards etc) must not be stored in hallways, stairwells or foyers. Emergancy exits must not be blocked. These are Occupational Health and Safety requirements. 
  • When booking your veneus it is essentatial to take into consideration set up and pack down time.

Deliveries and storage

Monash staff and security are not responsible for supervising deliveries.

  • Deliveries need to be arraigned with the Student Activities Officer before they occur
  • All deliveries should go to the Store room; rear 399 Royal Parade, access via Mile Lane
  • Don't assume spaces will be available for storing equipment either before or after functions - check with the Student Activities Officer.
  • If delivery is organised for the day of an event, a club representative must be available to receive it.

Equipment

There is some equipment available for loan, including audio visual equipment, notice boards and BBQ's. Please think through all equipment you might require and inform the Student Activities Officer at the time of booking.
